Terms & Conditions

These are the Terms and Conditions that will apply if you are booking one of our retreats. Please read them carefully as you will be bound by them.

These Terms shall constitute the entire agreement between Radha Retreats and the Client relating to the subject matter herein, and shall constitute a binding agreement. There is no verbal or written representation, warranty, prior agreement, or description of services other than as expressed herein.

The contract and booking are made with, and services will be provided by, Radha Retreats. By booking a retreat, you agree to be bound by these Terms and Conditions that govern the relationship, the cancellation policy, and limitations of liability. These Terms and Conditions affect your rights and designate the governing law and forum for the resolution of any and all disputes.

Booking trips & the contract

All persons wishing to make a booking have carefully read and understand the Terms and Conditions that follow. By making a booking with Radha Retreats, you accept on behalf of yourself and all those named on the booking to be bound by these Terms and Conditions. A booking is accepted and becomes definite only from the date when Radha Retreats sends a confirmation email, and when you have completed the deposit payment.

Payment Policy

For all advertised retreats, a non-refundable deposit of 30% of the total value of the retreat per person, plus submission of our online booking form, is required to complete your booking.

The remaining balance will be paid either in total or in two installments: 50% (minus the deposit) 90 days prior to the event, and a second payment of the same amount 30 days before the retreat starts.

If the final balance is not received by the due date, then your booking cannot be guaranteed, and Radha Retreats reserves the right to cancel your booking and forfeit your deposit.

Please note: deposits made on all bookings are non-refundable and non-creditable due to the requirement to purchase non-refundable and non-transferable essentials, including but not limited to accommodation reservations, on your behalf to secure your spot on the retreat.

Refund & cancellation

We understand that unexpected events can arise that can affect your plans.

If you notify us 90 days or more before the retreat start date, the deposit can be transferred to another retreat taking place within one calendar year.

If you cancel more than 45 days before the retreat start date, you may request a partial refund (less a cancellation fee equal to the deposit).

All retreat payments become non-refundable less than 45 days before the retreat start date.

You may also transfer the balance to a friend if you can’t make it.

Pricing

All retreat prices shown are per person and are quoted and payable in EUR.

Radha Retreats is not responsible for any fees incurred due to currency exchange or fees charged by your credit card/bank for processing funds in another currency.

Radha Retreats reserves the right to alter the prices of any of the retreat arrangements shown on our website.

Unless stated otherwise, the price of your travel arrangement includes all component parts described within your booking confirmation invoice.

Not included in the price of your travel arrangement are flights, transport, travel insurance, excess baggage charges, tipping, and any food, drink, or additional excursions or activities not confirmed as part of your retreat arrangements. Additionally, any items or services purchased during a retreat are not included in the cost of your travel arrangement unless specifically stated.

Medical conditions & special requirements

The Client must inform Radha Retreats on our registration form of any medical conditions, pregnancy, disability, or any other mental and/or physical condition that may affect fitness to travel or practice yoga and other activities. Failure to notify us may result in the Client being refused participation in the retreat or certain activities during the retreat at the Client’s own expense.

Radha Retreats will do its best to meet the Client’s special requests, including dietary, but such requests do not form part of the Contract and therefore Radha Retreats is not liable for not providing these requests.

Cancellation of a retreat by the client

Any cancellation by a Client must be made in writing (via email) and acknowledged by Radha Retreats in writing (via email).

Under no circumstances is your deposit refundable. Deposits are required to secure bookings.
If you cancel and you have made additional payments to your deposit, your full balance can be rolled over to another date of your same trip within one calendar year. If your trip is not offered again, you can switch locations, and fees can be transferred.

Cancellation of a retreat by Radha Retreats

Radha Retreats reserves the right to cancel any retreat for any reason, but will not cancel a retreat less than 30 days before the retreat start date except for unusual or unforeseen circumstances outside Radha Retreats’ control. When a retreat is canceled by Radha Retreats before the agreed date of departure for any reason other than the fault of the Client, the Client can either:

• Transfer their deposit to another retreat taking place within two calendar years, or

• Receive a full refund of all monies paid under the contract as soon as possible.

Radha Retreats is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the booking, such as visas, vaccinations, non-refundable flights or rail, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc. If the Client is offered a refund but requests an alternate retreat of a higher value than that originally booked, then the Client must pay the difference in price.

Force Majeure

Radha Retreats shall not be responsible for not fulfilling its contractual obligations to the extent that failure to fulfill is due to events outside its control, that is, force majeure events such as a pandemic, acts of God, fire, flood, cancellation of flights and/or prohibition of sailing due to adverse weather conditions, war, acts of terrorism, riot, civil commotion, governmental actions (excluding regulatory change), labor disputes, and any similar events. In such force majeure events, no refund shall be granted, and all payments will be credited in the form of a voucher valid for two years from the start date of the canceled retreat.

Travel & health insurance

Radha Retreats recommends that clients obtain travel medical insurance. This insurance must cover personal injury and emergency medical expenses, including, but not limited to, helicopter evacuation, air ambulance, and repatriation.

It is strongly recommended that coverage be extended to include cancellation, curtailment, and all other expenses that might arise as a result of loss, damage, injury, delay, or inconvenience occurring to the Client during travel. Radha Retreats shall have no liability for loss, theft, or damage to baggage or personal effects.

The Client acknowledges that the cost of Radha Retreats retreats does not include insurance and that the Client has been advised to obtain separate coverage at an additional cost. When obtaining travel insurance, the Client must ensure the insurer is aware of the type of travel to be undertaken.

Travel documents

The Client must be in possession of a valid passport required for entry, departure, and travel to retreat destinations (passport must be valid 6 months past the return date), and all visas, permits, and certificates, including vaccination certificates (if required), insurance policies, etc., required for the whole journey. The Client accepts full responsibility for obtaining all such documents, visas, and permits prior to the start of the retreat and is solely responsible for any adverse consequences resulting from missing or defective documentation.

Photos, video, and content creation

In the course of participation in a Radha Retreats retreat, photos or videos may be taken by participants, teachers, hosts, and professional photographers. These images may be used in any Radha Retreats promotional materials, website, and all social media platforms (i.e., Instagram), unless Clients specifically request to the photographer or in writing to Radha Retreats not to use any material in which their image is depicted. Otherwise, permission is granted to Radha Retreats for a perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes.

Retreat changes

Radha Retreats reserves the right to alter retreat programs, accommodation, teachers, and itineraries due to weather, illness, trip conditions, or other circumstances. No refunds will be made in these cases.

Data protection

To ensure that retreats run smoothly, Radha Retreats needs to use personal information (such as name, address, special needs, health conditions, dietary requirements, etc.) provided by Clients to Radha Retreats, and also pass on such information to other suppliers involved in the operation of the retreat. Radha Retreats will apply appropriate security measures to protect such personal data and will only pass on data that is applicable to suppliers responsible for the retreat. By completing the Radha Retreats Booking Form, Clients consent to this information being transferred as required.

Liability

The Client acknowledges that during a retreat, they participate voluntarily in any and all activities arranged by the retreat hosts, and, insofar as legally permissible, surrender their right to any cause of action against Radha Retreats arising from any loss or damage to person or property that occurs during a retreat.

The Client hereby agrees to be responsible for their own welfare and accepts any and all risks of delay, unanticipated events, inconvenience, illness, injury, emotional trauma, or death.

The Client hereby certifies that they are physically fit and have not been advised not to participate, by any means or in any manner, in any such activity arranged by the retreat hosts by a qualified medical professional. The Client hereby certifies that there are no health-related reasons or problems that preclude their participation in any and all activities arranged by Radha Retreats.

The Client hereby waives, releases, and discharges any and all liability from their participation in the trip and in any and all activities arranged by the retreat hosts, including but not limited to liability arising from the negligence or fault of Radha Retreats and/or its employees and/or its collaborators and/or its subcontractors, for their death, disability, personal injury, property damage, property theft, or actions of any kind which may hereafter occur to the Client, including the Client’s travel to and from activities arranged by the retreat hosts.

Cancellations due to COVID-19

If the retreat has to be canceled due to a new lockdown in Spain, the guests will be able to either move their reservation to another retreat happening within the next two years or ask for a full refund.
If the guest has to cancel the retreat due to new travel restrictions imposed in the country of origin, and is banned from traveling or forced to quarantine on arrival, the guest will have the option to change the reservation to another retreat happening within the next two years or receive a full refund (minus the deposit).

If the guest tests positive for COVID-19 just before traveling to Spain or the retreat destination, the guest will be reimbursed for the last payment made (50% minus the deposit).

We highly recommend our guests purchase travel insurance to be covered in unexpected situations.
To guarantee the health, security, and confidence of our guests, depending on the COVID-19 situation at the moment of the retreat, Radha Retreats may ask guests to do a PCR/antigen test on arrival.

Applicable law

The Contract and these Terms and Conditions are subject to the laws of Spain.

Waiver of booking conditions

These Booking Terms and Conditions may only be waived or amended by written mutual consent. When a Client completes, submits, and makes the payment for booking their place for a retreat, they agree to accept all these conditions, and when the booking is accepted, Radha Retreats agrees to carry out the obligations as defined therein.

Updating of terms & conditions

Radha Retreats reserves the right to update and/or alter these Terms and Conditions at any time, and it is the Client’s responsibility to be familiar with them. The latest Terms and Conditions may be found on Radha Retreats’ website.
